Cancellation Policy
Below you will find our Cancellation Policy. This is the same policy contained within our Terms and Conditions and has the same meaning and effect. It has simply been presented in a more accessible and parent-friendly format to make it easier to read and understand.
If you have any questions about the Cancellation Policy or are unsure how it applies to your circumstances, please get in touch with us and we will be happy to help.
At Suppree Tuition, lesson times are reserved exclusively for each student. When a lesson is cancelled at short notice, it is often not possible to offer that time to another family, and the tutor has reserved that time for the student and may still be entitled to payment. We therefore ask that all cancellations are made as early as possible.
Providing Notice
We require at least 24 hours' notice if you wish to cancel or reschedule a lesson.
Where a tutor contacts you approximately 24 hours before a lesson to confirm attendance or remind you of the session, a prompt response within one hour informing the tutor that you wish to cancel will be sufficient and will be treated as meeting the notice requirement. No cancellation fee will apply in this situation, even if the cancellation is made less than 24 hours before the lesson.
Please note that lessons are normally expected to continue throughout school holiday periods unless you give us notice in advance that you wish to pause or cancel sessions.
Late Cancellations and Non-Attendance
Where less than 24 hours' notice is given, or a student fails to attend a scheduled lesson without notice, the following policy applies:
-
First occasion each academic term: No cancellation fee will apply as a gesture of goodwill.
-
Any subsequent occasions during the same academic term: The full lesson fee will be charged as a cancellation fee.
Late Arrival to a Lesson
Students are entitled to their allocated lesson time only.
Where a student joins a lesson after its scheduled start time, the lesson will still conclude at its originally scheduled finish time. Tutors are not required to extend the lesson beyond the agreed finish time to make up for time missed due to a student's late arrival.
For example, if a 60-minute lesson is scheduled from 5:00 pm to 6:00 pm and the student joins at 5:20 pm*, the lesson will still conclude at* 6:00 pm*.*
No refund, credit or replacement lesson will be provided for any time missed as a result of a student's late arrival.
Requests to Reschedule at Short Notice
Requests to reschedule with more than 24 hours' notice are free of charge, provided that the tutor has availability.
If you notify us less than 24 hours before your lesson but ask to move the session to another day during the same week, we will make every effort to accommodate your request.
Where the tutor has suitable availability, the lesson may be rearranged subject to a £10 administration fee instead of the cancellation fee.
Please note that rearranged lessons cannot be guaranteed and are entirely dependent upon the tutor's availability. If the tutor is unable to offer an alternative time, the lesson will be treated as a late cancellation and the full lesson fee will apply in accordance with this policy.
Illness
We understand that illness is unavoidable and do not normally charge cancellation fees where a lesson is cancelled due to genuine illness. We simply ask that you provide as much notice as possible.
However, where the Senior Leadership Team identifies a recurring pattern of lessons being cancelled due to illness, particularly where little notice is given, we reserve the right to review the arrangement.
Following this review, we may:
-
require that future illness-related cancellations are made by 9:00 am on the day of the lesson in order to avoid a cancellation charge; and/or
-
charge the full lesson fee for future late cancellations due to illness where we reasonably believe the policy is being misused.
Any such decision will be communicated to you in advance.
New Students
We recognise that new students may require a short settling-in period. The Senior Leadership Team may, at its discretion, exercise additional flexibility during a student's first few weeks with Suppree Tuition where appropriate.
Regular Cancellations
Students who regularly cancel lessons with more than 24 hours' notice may prevent us from offering that lesson time to another family.
Where the Senior Leadership Team identifies a pattern of frequent cancellations, we reserve the right to notify you that your regular lesson slot may be released and offered to another student. We will always discuss this with you before any changes are made.
The Senior Leadership Team reserves the right to exercise discretion in exceptional circumstances and to make decisions on a case-by-case basis where this is considered fair and reasonable.
